How to collect wedding photos from guests without an app

The easy part is making a QR code. The work is getting guests to notice it, choose their pictures, and upload before the album closes.

This plan works with a browser-based photo album, whether you use Stellanza, WedUploader, GUESTPIX or another service. Check your chosen service's limits before printing the sign.

1. Choose where the originals will live

Decide whether you want files delivered to your own cloud storage or kept in a hosted event gallery. WedUploader transfers uploads to your connected Google Drive. GUESTPIX hosts an event gallery. Stellanza keeps the album in the same wedding workspace as the guest list and seating plan.

Compare the upload deadline, download deadline, file limits and video support. Stellanza's free tier holds 50 photos and closes seven days after the wedding; its Premium tier allows up to 5,000 files or 15 GB, with 30 days to upload and 90 days of access. GUESTPIX has a standalone 50-photo free tier without videos; its free gallery expires 37 days after the event.

2. Make one short route into the album

Put the album's link behind the QR code, then test the exact printed QR on a different phone. Check it opens in a browser without a guest account. Put a readable short link beneath the code for people whose camera will not scan it.

3. Ask twice, at the right moments

Put one sign where guests sit and a second where they linger, such as the guestbook or bar. Ask the MC to mention the album after the first dance or speeches, when people have photos on their phones.

Send the same link in a next-day thank-you message. Many guests will choose their best shots at home rather than during the reception. Tell them the actual deadline in that message.

Example sign: ‘Share your photos with us. Scan to upload; no app or guest account needed. Please send your favourites by [date].’

4. Set expectations and save a copy

Tell guests who can see uploads. A link-based album can be unlisted without being restricted to your invited guest list: anyone with the link may be able to contribute. Avoid putting the link on a public social post if you want a private group.

Download the originals before the service's access window ends, keep a second copy, and ask the photographer when the professional gallery will arrive. Guest photos fill a different role; they are not a replacement for the photographer's files.
